Privacy Policy

Healing Light Media, LLC (“we”, “us”) operates healing-light.org. This policy explains what personal information we collect, why, and what we do with it.

What we collect

  • Order information — name, billing and shipping address, email address, phone number, and the contents of your order.
  • Payment information — card details are entered directly into our payment processor and are never stored on our servers. We receive only a confirmation and the last four digits of the card.
  • Inquiry information. Anything you submit through a contact or consultation form.
  • Project intake information. When you request a consultation we create an intake record for you. It holds your name, email address, organization, the date, and one entry for each room you send us, with the room name you typed, the date, the Curator code made from your answers, and the room photographs if you chose to upload any. Your written answers are not stored on the site. They reach us by email. Photographs are stored in a private folder on our server, used only to prepare your proposal and to load your room into the Curator, and never published. Please photograph empty rooms only. No people, no paperwork.
  • Curator access list. Completing the intake adds your email address to a Curator access list on our own mailing software. That list only opens the Curator door. It is not the newsletter. You join the newsletter only if you tick the box on the intake and then confirm by email.
  • Design consultation records. If you buy consultation hours we keep a record of the hours you bought and used. The first hour you buy also issues a one time discount code. To make sure each customer gets that code once, we keep a small ledger with your email address, your order number, your customer id if you have an account, the last ten digits of your phone number if you gave one, and the code with its dates.
  • Account information — if you create a customer account: your name, email address, saved addresses, and order history.
  • Newsletter information — if you subscribe: your email address (and name, if you provide it), whether via a signup form, the optional checkbox at checkout, or account registration. Subscription is completed only after you confirm it by email.
  • Technical information — IP address, browser type and pages visited, collected by our host for security and performance.

How we use it

  • To process, fulfill and deliver your order.
  • To respond to inquiries.
  • To send order confirmations and shipping updates.
  • To send our newsletter to confirmed subscribers. Newsletter emails may record whether they were opened, to help us understand what readers value. Every newsletter contains an unsubscribe link, and unsubscribing takes effect immediately.
  • To meet tax, accounting and legal obligations.

We do not sell your personal information. We do not share it for advertising.

Who we share it with

  • Our print and fulfillment partners, and the order routing service that hands your order to them. They receive your name, shipping address and the contents of your order.
  • Our payment processor, who handles the transaction.
  • Our hosting provider, who stores the site and its data.
  • Authorities, where we are legally required to do so.

Our newsletter is sent by mailing software running on our own website and hosting; subscriber lists are not shared with an outside marketing service.

The Healing Light Curator

The Curator is our browser based room consultation tool. A photograph you take inside the Curator stays on your device. It is read there and never uploaded. Photographs you sent with your project intake are different. Those sit on our server, and when you open the Curator from the link in your email it loads them from our server so you do not have to shoot the room twice. The Curator itself sends us nothing about your rooms or your answers. If you press Email me these results or Ask for a virtual consultation, it sends your shortlist and the room facts you entered to the email address on your intake and to our design team, and nothing else. Access is by completing the project intake, or by an access code we give you, and a cookie on your device remembers your access. The only usage measure we keep is an anonymous count of requests for its augmented reality preview from devices that do not support it. The Journal, our editorial section, collects no personal information.

Cookies

We use cookies necessary for the shopping cart, checkout and account functions, a cookie that remembers your access to the Curator, and a cookie on the intake page that remembers your intake reference for 180 days. Payment and security cookies may be set by our payment processor.

Your rights

You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it, subject to any records we must keep for tax and accounting purposes. Write to richard@healing-light.org.

Retention

Order records are kept for as long as required for tax and accounting purposes. Inquiry correspondence is kept only as long as it is useful. Intake records, including room entries and codes, are kept for 180 days from the day your intake link was issued. Room photographs are kept until you ask us to delete them. The consultation credit ledger is kept for as long as the reimbursement offer runs.

Children

This site is not directed at children and we do not knowingly collect information from anyone under 16.
